Research Policy

Rules

The Archives Centre is open by appointment only. All researchers will be admitted with the assistance of the organization's archivist.

 

All researchers must use pencils only. In addition, researchers must wear nitrile gloves (provided) depending on the type of document consulted.

 

It is forbidden to eat or drink in the Archives Centre building. However, permission may be granted for water bottles in a designated area.

 

Off-site research done by the archivist:

  • All requests will be considered within 30 days of receipt of a written request sent by email.

  • If the research takes less than one hour and does not yield any results, only the research opening fee will be charged.

  • Payment of search fees must be completed before results are sent.

 

Archival Images Distribution:

  • Upon written request, it is possible to use digitized images from our archives for broadcasting projects. In this case, a distribution contract must be signed by the parties concerned and source references are mandatory.

  • In cases where images are shared on social media or websites outside our organization, a watermark will be applied and the image will be in low resolution, unless otherwise specified.

  • IN ALL CASES WHERE ARCHIVAL IMAGES ARE DISTRIBUTED, ONCE THE PROJECT IS COMPLETED, WE REQUIRE THE DESTRUCTION OF THE DIGITAL DOCUMENTS BY THE PERSON OR ORGANIZATION THAT REQUESTED THEM.

  • IT IS ALSO PROHIBITED TO REUSE THE IMAGES IN OTHER CONTEXTS AND/OR TO TRANSMIT THE IMAGES TO ANY THIRD PARTY OR ORGANIZATION.

Service Pricing

Fixed Opening Research Fee:

A fixed fee of $15 applies to initiate a research dossier. This initial fee is waived for students (upon presentation of a valid student proof) and for members in good standing, upon presentation of valid proof of membership.

Once a research file has been opened, a fee of $40 per hour is charged, up to a maximum of $100 per day. This fee includes preliminary research, preparation and handling of documents by the archivist. For members in good standing, upon presentation of valid proof of membership, the first hour is charged at $25, and subsequent hours (on the same day) are charged at $5 per hour

 

The time required for the preliminary research will be proportional to the accuracy of the request and the information provided by the researcher.

 

Photocopies:

Letter or legal format (all purpose paper): $0.75 per sheet.

Digitization:

$25 for the first image or PDF document (maximum 15 pages). $5 for each additional image or document (maximum 15 pages).

Digitized files are produced at 600 dpi unless otherwise requested.

 

Special rates for large orders may be negotiated.

 

In situations where the request includes several photographs, it is possible to create a PDF document containing low-resolution versions of the images with a watermark, in order to facilitate the final selection of images.

 

Postage and Handling Fees:

Shipping costs will be charged according to the postal rates in effect at the time of shipment, taking into account the weight of the documents and their destination.

Payment Methods:

We use the Square application for all on-site and remote billing. Payment is made by debit or credit card (Visa or Mastercard).

Two other payment options are available:

  • Cash : payments can be made in cash. Please note that we prefer $5, $10, $20 and $50 dollar bills.

  • Check : payments by check are also accepted, made payable to “Brome County Historical Society” and sent to the following address: 130 Lakeside Road, Knowlton, Quebec JOE 1VO.
